Workspace User Notice

This notice applies when you are invited into a workspace run by one of our customers. It is the member-facing part of the legal package you must accept before joining.
1. B2B workspace model
Virtual Customer is a business workspace tool. The workspace owner or customer decides who may join the workspace, what content is uploaded, and who can see shared workspace records.
Please do not upload personal data unless it is needed for the business purpose of the workspace. If you do upload personal data, the customer is responsible for having a lawful basis and for informing the people whose data is included.
2. How your data is handled
For workspace content, the customer is usually the controller and Valiquest is the processor. For account, billing, security, and site data, Valiquest acts as controller for the limited data it needs to run the service.
The workspace owner can manage invitations, seat access, roles, and organisation-level exports. Team members do not get a default right to export the whole workspace.
3. When you leave a workspace
If your access is removed or you leave the workspace, access is cut off immediately. Your private-only data can be deleted. In shared records, your identity may be anonymised or minimised while the team-owned record is preserved.
We do not delete customer-owned shared records automatically just because one member leaves. The workspace owner can later request workspace deletion or export, subject to the relevant legal and contractual rules.
4. Exports
Your personal export is self-only: it covers your own account data and personal traces, not the workspace-owned data of other people. The workspace owner can request the organisation export for the team-owned dataset.
